What is HeatMapp?

HeatMap is a perfomnce tracking tool, online task manager and communication hub for multi-unit businesses with individual and aggregate performance HeatMapp ‘scores’. 

What is a Heatmapp Score?<br />

Heatmap provides a visual overview of projects and problems at each location. Locations have a score from 0-100 to indicate their health. The health of a store is determined by the number of outstanding, pending or completed cases. For example; if a location has a score of 100 they have no outstanding issues reported. If a location has a score of 35 they have issues that need to be addressed, projects that are overdue and problems that need to be resolved. Once the issues are resolved and marked as ‘complete’ the location’s score will return to a healthy 100%.

How does it work?

Simple. Login. Create a ‘Case”. Add staff members to the Case and then assign timed “Tasks” to the users.

What is a Case?

A “Case’ is a project or a problem that requires contributions or input by multiple staff members to manage it. Users can create a case and then assign tasks to staff members in different departments. There are two states for a Case. Pending or completed. A case cannot be marked as completed when there are outstanding tasks.

What is a Task?

Tasks are items (or literal tasks) that have to be completed with a certain time. Tasks have a countdown that begins immediately the task is assigned. If a staff member does not complete the task before the countdown expires, Heatmap triggers an outstanding status for the task and reduces the score of that property. The more outstanding items a location has the lower the score drops. There are three states for a task.

  • Pending: A task has been assigned and the countdown for completion has begun. Pending status has a Yellow color associated throughout the system.   
  • Completed: The task has been completed. Completed status has a Green color associated throughout the system.  
  • Outstanding: The task has not been completed and the countdown has not been met. Outstanding status has a Red color associated throughout the system. 

What is a Department?

A Department is a department, category or a role within a business. For example, a Hospital may have Administration, Nursing and Pharmacy departments with different staff members in those departments. A restaurant may have Kitchen, Front of House, Marketing, Accounting and  Management. Departments can be easily added, edited and removed.

How are users notified they have been assigned a task?

An email is sent to the user alerting them of the task and the deadline. Users will follow the link in the email to login to HeatMap and view the task. When there is 6 hours left on a countdown a reminder alert is sent to the assigned staff members email.

What is the difference between a Case Manager and a Staff Member?

A Staff Member is assigned tasks and cannot create a case or assign tasks. A Case manager creates Cases and assigns Tasks to Staff Members.  

    How do I add, edit, delete staff members?

    Only Case Managers can invite Staff members to a Case. This is managed through the “STAFF” page.

    How do I add, edit, delete Departments?

    Only Case Managers can add Departments. This is managed through the “DEPARTMENTS” page.
